Behind the Scenes: How the VC Crew Wraps Up a Season

By the time the last racer crosses the finish line and the final high-fives settle into warm goodbyes, a different kind of work begins: the quiet, behind-the-scenes ritual that brings the VC season to a close.

And every year, as I start packing up the village for the final time, I'm struck by the same feeling: gratitude mixed with just the right amount of exhaustion.

Because wrapping up a season is a little like taking apart a beloved holiday display: you remember every joyful moment as you put each piece away.

The Teardown Dance

If you've ever seen our crew work behind the scenes, you know we don't exactly move slowly. We've developed a rhythm: a dance, really: that turns organized chaos into something surprisingly graceful.

Fold the archway. Roll up the finish carpet. Stack the flags: always the blue ones first, though none of us remember why. Tuck away the prize bins. Wrap cables. Check radios. Lose radios. Find radios in the bottom of someone's bag.

It's fast, it's messy, it's loud: but it's ours. Each crew member knows exactly which tent pole goes where, who's responsible for the speaker system, and how to fold our massive welcome banners without getting tangled up in them. After months of practice, we move like a well-oiled machine.

The funny thing is, no matter how many times we've done this, someone always discovers a "better" way to pack something. Usually when we're already halfway through loading the truck. These innovations rarely stick, but they always make us laugh.

The Ritual of the Gear Room

Once we're off the mountain, everything returns to the gear room. This place becomes a time capsule of the season: smelling faintly of snow, pine, and a year's worth of laughter.

I go shelf by shelf, bin by bin, making sure every sign, cone, banner, tent, speaker, flag, and giveaway has a home. There's something oddly comforting about stacking these objects in neat rows, knowing they'll come alive again next winter.

The prize bins get special attention. Each one tells its own story: the stickers that were gone by 9 AM at every single event, the temporary tattoos that made kids light up with excitement, and the little toys that somehow turned shy racers into confident champions. I count inventory, but really I'm remembering faces.

The banners get rolled carefully, each crease smoothed out. These aren't just pieces of fabric: they're the backdrop to thousands of family photos, the first thing nervous first-timers see when they arrive, and the bright colors that make our village feel like home base for adventure.

The Stories We Tell While We Pack

Packing isn't quiet.

Someone always says, "Remember that kid at Pats Peak?"

Then someone else mentions the parent who raced for the first time.

Then someone brings up the siblings who started a cheering chain reaction at Lost Valley.

The stories wrap around us like a warm coat while we stack, fold, lift, and label. We remember the morning that was so cold our water bottles froze, and how the families still showed up with smiles. We talk about the day when the snow was perfect, the sun was bright, and every single racer looked like they were having the time of their lives.

These aren't just work memories: they're the moments that remind us why we do this. Every folded tent and every packed box represents dozens of kids who tried something new, parents who cheered themselves hoarse, and families who made connections that will last long after the snow melts.

Our crew becomes storytellers during teardown, each person adding details that others might have missed. The volunteer who noticed a nervous racer and spent extra time offering encouragement. The DJ who played exactly the right song at exactly the right moment. The parent who thanked us with tears in their eyes because their child had just discovered something they were truly proud of.

The Very Last Box

There's always one box I save for last: the one with the medals. Holding those little tokens makes me think of every proud smile, every brave heart, and every child who crossed a finish line feeling taller than when they started.

Each medal represents a moment of courage. The first-timer who almost turned back at the start gate but found the bravery to push off. The returning racer who improved their technique and couldn't wait to try again. The shy kid who discovered they loved being part of something bigger than themselves.

I wrap each medal carefully, knowing that somewhere out there, kids have them hanging in bedrooms, tucked into backpacks, or displayed on dressers where they can see them every morning. These aren't just participation awards: they're proof that trying new things and being brave is always worth celebrating.

Closing that final lid always hits me right in the chest. It's not just about ending a season; it's about preserving all the courage, joy, and connection we've witnessed over the past few months.

The Drive Home

The last drive of the season is quiet.

The music stays low. The heat stays high. Out the window, winter leans gently toward spring.

I always think about the families who joined us: the ones who returned season after season, becoming part of our extended VC family, the ones who took a leap and tried something new, and the ones who surprised themselves with how much they loved racing.

There's something bittersweet about these final drives. The truck is loaded with memories, but the mountains feel a little empty without our colorful village at the base. I think about all the conversations that happened in our registration tents, all the high-fives at finish lines, and all the families who found something special in our little racing community.

But mostly, I think about next season. The new families we'll welcome. The returning racers who'll show us how much they've grown. The moments of courage and celebration that are still waiting to unfold.

And I think, "I can't wait to do this again."

Planning Ahead

Even as we're packing up, part of my mind is already turning toward next winter. Which venues worked best for families? What activities brought the most joy? How can we make the experience even more welcoming for nervous first-timers?

The gear may go into storage, but the planning never stops. Summer is when we dream up new ways to celebrate young racers, refine our processes, and strengthen the partnerships that make race days possible. It's when we reach out to families, share stories from the season, and start building excitement for the adventures ahead.

Every season teaches us something new about what matters most to families. This year, we learned even more about the power of encouragement, the importance of making everyone feel welcome, and the magic that happens when kids surprise themselves with their own bravery.

Those lessons get packed away too, ready to shape the way we set up our village, train our volunteers, and welcome families when the snow flies again.

The season may be over, but the community we've built together continues year-round. And that's the most beautiful thing of all: knowing that these connections, these memories, and these moments of courage will carry families through until we meet again on the mountain.
